Lawful bases and data protection rights

- Right to restriction of processing — you can ask us to limit how we use your information.

- Right to data portability — you can ask us to transfer your information to another organisation, or to you.
- Right to withdraw consent — where we rely on consent, you can withdraw it at any time.

Our lawful bases for the collection and use of your data
To provide services and goods: Contract — we have to collect or use the information so we can enter into or carry out a contract with you.
For the operation of customer accounts and guarantees: Contract — as above.
For service updates or marketing purposes: Legitimate interests. Keeping customers informed about their account and subscription status helps them get the most out of the service and avoid unexpected loss of access — for example, letting a customer know their free trial is about to end so they can decide whether to subscribe. This benefits the customer directly and does not involve sharing information with third parties for marketing purposes. Only account-related, service-relevant emails are sent — no promotional or third-party marketing communications.
For legal requirements: Legal obligation — we have to collect or use your information so we can comply with the law.
For dealing with queries, complaints or claims: Legitimate interests. When a customer contacts us with a question, complaint or issue, we need to use their account and contact information to investigate and respond appropriately. This benefits the customer by allowing us to resolve their issue efficiently, and benefits our organisation by allowing us to maintain accurate records and improve the service.

Where we get personal information from
Directly from you.
How long we keep information
We keep your personal information for as long as your account remains active. If you delete your account, your profile, uploaded photos, room designs, floorplans, and community posts are permanently deleted from our systems immediately.
Financial and transaction records relating to subscription payments are kept for 6 years after the end of the tax year they relate to, in line with UK tax record-keeping requirements, even if the account itself has been deleted.
Website analytics data (where consent has been given) is retained according to the relevant analytics provider's default retention period, currently 14 months for Google Analytics and 12 months for Microsoft Clarity.
Who we share information with
Data processors
Supabase
They provide our database, user authentication, and file storage. They store account information (email, username, password), uploaded photos, room designs, floorplans, and community posts on our behalf.
Stripe
They process subscription payments securely and store payment card details. We never see or store full card numbers ourselves.
Resend
They send transactional emails on our behalf, including account verification emails, password reset emails, and subscription trial reminders.
Cloudflare
They host our website and app, provide security and performance services, and run background processes (such as sending scheduled reminder emails) on our behalf.
Google Analytics
They provide website and app usage analytics, helping us understand how the service is used, only where you have given cookie consent.
Microsoft Clarity
They provide website and app usage analytics (such as anonymised session recordings and heatmaps), only where you have given cookie consent.

Sharing information outside the UK
Where necessary, our data processors may share personal information outside of the UK. When doing so, they comply with the UK GDPR, making sure appropriate safeguards are in place.
